Every field explained

Every box on the New Appointment form, grouped the way the form is. Boxes marked ✱ required must have an answer before you can save.

Field What it does Do / Don’t
Mobile The customer’s mobile. Enter it first — BUZ checks whether they’re already on file. Do type it before the name to avoid duplicates.
Don’t invent a number just to move on.
Phone A landline or second contact number. Optional. Do add it if you have one.
Don’t worry — it’s optional.
Email Their email address. The magnifying-glass icon looks up an existing contact by email. Do use the search to reuse a record.
Don’t re-create someone already on file.
Company Name The business name, for a trade or commercial job. Do fill it for company jobs.
Don’t need it for a home customer.
First / Last Name The person’s name. Name or company needed. Do give a name or a Company Name.
Don’t leave both empty.
Branch ✱ Which of your business locations owns this lead. Pick from the list. Do choose the branch that will service it.
Don’t skip it — you can’t save without it.
Customer Group ✱ The type of customer (e.g. Retail, Trade). Can affect pricing and workflow. Do pick the closest match.

Install address Where the work happens. Type it and pick the matched address from the drop-down, or use Enter manually. Powers rep suggestions and the map. Recommended. Do pick the real match from the list.
Don’t rough-type it — suggestions & map need a proper address.
Billing address same as install A toggle. When on, billing copies the install address. Do leave it on for most jobs.
Don’t turn it off unless billing really differs.

Appears only when BUZ recognises the phone, email or name you typed.

Match banner A yellow banner offers the matching customer. Details to check, Use to fill the form from their record. Do check it to avoid duplicates.
Don’t ignore it if it’s the same person.
“Linked” chip A blue tag showing you’ve linked to an existing customer. Do click the × to unlink if it’s wrong.
Don’t leave the wrong person linked.
Field What it does Do / Don’t
Product groups of interest A tick-list of what the customer wants (Roller Blinds, Curtains…). You can pick several. Do tick everything discussed — it feeds rep suggestions.
Don’t leave it empty if you know what they want.
Quantity (per product) How many of each ticked product. Do enter a best-guess count.
Don’t leave it at 0 if they want some.

Survey ✱ How the customer found you (Google, referral, repeat…). Used for marketing reports. Do ask the customer and pick.

Company Types ✱ Classifies the lead’s company type. Pick from the list. Do choose the matching type.
Don’t skip it — you can’t save without it.
Other Description A free-text box shown when the source or type is “Other”. Required when shown. Do describe the source in a few words.
Don’t leave it blank when it’s shown.
Other Info Any extra note about how they found you. Optional. Do add detail if useful.

Field What it does Do / Don’t
Suggest reps A button. BUZ ranks reps by area, skills, the days they work and their workload, then scores each. Do enter an address + products + a date first.
Don’t expect suggestions with no address.
Sales rep ✱ Who will do the appointment. Pick from the list or a suggestion. Do pick the best-scored rep.
Don’t skip it — you can’t save without it.
Date ✱ The day of the appointment. Click to pick from a small calendar. Do set the day.
Don’t skip it — you can’t save without it.
Start time When the appointment begins. Do set it, or use Quick set.
Don’t stress — you can set it later.
End time When the appointment finishes. Do set an estimated finish.
Don’t worry — it’s optional.
Quick set One-tap presets — Morning or Afternoon — and Clear to empty the times. Do use it for a rough slot.
Don’t forget you can still fine-tune the times.
Appointment subject / description A short title for the visit, shown on the calendar card. Do be clear, e.g. “Measure & quote — roller blinds”.
Don’t leave it cryptic.
Notes Internal notes for the rep — access details, parking, “ladder required”, etc. Do add anything that helps on the day.
Don’t put anything the customer shouldn’t see.

Attachments Photos or files for the job. Appears after you’ve saved the appointment once. Do add site photos once saved.
Don’t look for it before the first save.
Button What it does Do / Don’t
Save Appointment Books the appointment. Nothing is stored until you press it. Do press once the ✱ fields are filled.
Don’t assume it saved — wait for it to close.
Cancel Closes the form without booking. Do use it to discard a mistake.
Don’t panic — a draft is kept.
Drafts Auto-saved copies of forms you didn’t finish, shown at the top of the form. Do reopen from Drafts if you closed by accident.
Don’t re-type a form you already started.

Statuses and their colours are set up by your business, so yours may differ. Typical examples: New (grey), Booked (blue), Quoted (amber), Won (green), Lost (red).
