Adding Inventory Items via Excel Upload

This guide explains how to add multiple inventory items to BUZ using Excel. It’s ideal for bulk uploads and saves time when setting up or updating inventory. If you only need to add a few items, you can also add them individually through the BUZ interface.

Make sure you’ve created a Group for your items first. Think of a Group as a folder, with your inventory items as the files inside it.

There are two types of Group:

  • Material
  • Components
  1. In BUZ, go to Settings → Inventory Items → Import/Export.

  2. Select Export Inventory Items.

  3. Choose the Group(s) you want to download. Hold Ctrl (or Cmd on Mac) to select more than one.

  4. Click Export. An Excel file downloads to your computer.

Open the downloaded file. You’ll see several tabs — choose the one matching your inventory type (for example, Fabric or Components). Each sheet has up to 41 columns, but only a few are mandatory. Detailed inventory items also carry information relating to purchase ordering.

There are two main types of inventory item, and the required columns differ slightly for each.

Fill in these columns:

Column Description
D Question 1 — generally the Material
E Question 2 — generally the Material Type
F Question 3 — generally the Colour
AO ActionA = Add, E = Edit (only if the item already exists), D = Deactivate (only if the item already exists)

Notes:

  • Columns D, E, and F are typically Material, Material Type, and Colour, but this can vary with your product setup — adjust them to suit your naming or structure.
  • Optional: you can add Price, Cost, and/or Discount Grid codes in columns G, H, and I if you already have pricing grids set up.
  • Columns B and C don’t need to be filled in, but you can set your own Code (column B) or Description (column C) if you prefer.
  • Do not fill in column A — BUZ automatically generates a unique PkId (Product Key ID) for each item.

Fill in these columns:

Column Description
B Code — must be UPPERCASE with no spaces or special characters (! @ # $ % ^ & < > ?). The only exceptions allowed are periods (.) and hyphens (-).
C Description — appears on quotes and orders
AO ActionA = Add, E = Edit (only if the item already exists), D = Deactivate (only if the item already exists)

Notes:

  • Do not fill in column A — BUZ automatically generates a unique PkId for each item.
  • Optional: you can add Price, Cost, and/or Discount Grid codes in columns G, H, and I if you already have pricing grids configured.
  1. Save your Excel file.

  2. Return to Settings → Inventory Items → Import/Export.

  3. Click Import Inventory Items.

  4. Upload your saved file.

Once uploaded, your new inventory items are added to BUZ.
